ABSENCE & MAKE-UP CLASS POLICY
At Acro Fusion, we understand that occasional absences are sometimes unavoidable due to illness, school commitments, scheduling conflicts, or personal circumstances. To support our students in staying on track with their training, we offer a flexible make-up class policy.
Students who miss a regularly scheduled class are welcome to make up their absence by attending a class at one level below or above their current training level. This policy is in place for safety and instructional integrity, ensuring that students participate in a class where they can confidently review foundational skills under appropriate supervision.
Important Notes:
- Make-up classes must be scheduled in advance and are subject to availability.
- Missed classes must be made up within 2 weeks of the original absence.
- Students absent due to school camps or other school-related activities are welcome to attend a make-up class in accordance with this policy.
- Refunds, credits, or fee reductions are not available for missed classes, including absences due to school camps, holidays, illness, or personal commitments.
- Make-up classes are offered as a courtesy and cannot be exchanged for credits or deducted from tuition fees.
- This policy does not apply to private lessons or specialty workshops unless otherwise stated.
EXTENDED ABSENCE POLICY
Our priority is to maintain a safe, structured, and supportive environment for every student. If you have any questions about class levels or make-up options, please don’t hesitate to contact us.
AcroFusion operates on a term-based enrolment system, with classes and student places secured for the full term upon enrolment.
We understand that families may occasionally choose to travel during school terms. However, as student positions, staffing, studio scheduling, and class capacities are planned in advance, refunds, credits, make-up classes, or fee reductions are not available for missed classes due to planned holidays, travel, or other personal commitments that fall during scheduled term classes.
This policy applies to all classes, programs, workshops, and unlimited class packages.
Students who are absent due to travel remain enrolled in their classes during this period, and their place within the class will continue to be reserved for their return.
Any exceptions to this policy are made solely at the discretion of studio management and should not be considered an ongoing arrangement or precedent for future requests.
ATTENDANCE POLICY
At Acro Fusion, regular attendance is essential to ensure students develop safely, confidently, and consistently in their training. Each class builds on the skills taught in previous weeks, and consistent attendance allows students to progress effectively while supporting the overall flow of the class.
We understand that occasional absences due to illness, school commitments, family events or unforeseen circumstances may occur. We ask that families communicate absences as early as possible.
CLASS ATTENDANCE
- Students are expected to attend classes regularly and arrive on time, prepared for class.
- Late arrivals can disrupt both the student’s warm-up and the learning environment for the class.
- Students arriving more than 15 minutes late may be asked to observe class instead of participating for safety reasons.
- If a student is unable to attend class, parents/guardians should notify the studio prior to class commencing where possible.
MINIMUM ATTENDANCE REQUIREMENTS
Due to the technical and physical nature of our classes, students are expected to maintain a minimum attendance rate of 80% throughout the term.
Students whose attendance falls below 80% may jeopardise their participation in showcases, performances, competitions or routine work. This is to ensure the safety, confidence and preparedness of both the individual student and the wider group.
At the discretion of Acro Fusion management and teaching staff, students with low attendance may:
- Be removed from sections of choreography
- Be repositioned within routines
- Be asked to participate in limited performance components only
- Be deemed ineligible to perform in the annual showcase
These decisions are made with the safety and wellbeing of all students as the highest priority.
For students participating in performances, showcases, exams or special events:
- Consistent attendance is extremely important.
- Excessive absences may impact choreography placement, formations or participation eligibility.
- Students may be required to attend additional rehearsals leading into performances or events.
Our priority is to ensure all students feel confident, prepared and safe during performances.
INJURY POLICY
1. Purpose
To ensure the safety and well-being of all students, instructors, and staff members by providing clear guidelines for handling injuries that occur during acrobatics classes, rehearsals, or performances.
2. Scope
This policy applies to all students, instructors, staff members, and visitors participating in or observing acrobatics activities at the studio.
3. Injury Prevention
– Warm-Up: All classes must include a proper warm-up and stretching period to reduce the risk of injury.
– Equipment Safety: All equipment must be inspected regularly for safety. Instructors are responsible for ensuring equipment is used correctly and safely.
– Skill Level Assessment: Students must be assessed for skill level and should only attempt movements and stunts appropriate for their ability.
– Spotting: Instructors must provide spotting for students performing advanced skills until the student demonstrates proficiency and safety.
– Footwear and Attire: Students must wear appropriate attire and no footwear as specified by the studio to reduce the risk of slips and falls.
4. Immediate Response to Injury
– Stop the Activity: If an injury occurs, the activity must stop immediately. The instructor will assess the severity of the injury.
– First Aid: A basic first aid kit must be accessible in the studio at all times. Instructors are trained in basic first aid and CPR and should administer initial care as necessary.
– Emergency Services: If the injury is severe (e.g., suspected fractures, head injuries, severe bleeding), the instructor will call emergency services (000) immediately.
– Parental Notification: For minor injuries involving students under 18, the instructor must inform the student’s parent or guardian promptly. For serious injuries, parents/guardians must be notified immediately.
5. Post-Injury Procedure
– Incident Report: The instructor must complete an injury incident report within 24 hours, detailing the circumstances of the injury, the response provided, and any follow-up required.
– Medical Clearance: Students who have sustained an injury requiring medical attention must provide a medical clearance note from a healthcare professional before returning to class.
– Return to Activity: The studio will work with the student, their parents/guardians, and healthcare providers to develop a safe plan for returning to acrobatics activities. Modifications to class participation may be required based on the injury.
6. Ongoing Safety Measures
– Training: Instructors will receive regular training in injury prevention, first aid, and emergency response procedures.
– Communication: The studio will maintain open communication with students and parents/guardians regarding injury prevention, safety protocols, and studio policies.
– Monitoring: Students recovering from an injury will be closely monitored to ensure they do not overexert themselves during the recovery period.
7. Liability and Insurance
– Waiver and Release: All students (or their parents/guardians, if under 18) must sign a waiver and release of liability form acknowledging the risks involved in acrobatics activities.
– Insurance: The studio carries liability insurance to cover accidents and injuries. However, personal medical insurance is the responsibility of the student and their family.
8. Review and Revision
This injury policy will be reviewed annually and revised as necessary to ensure it remains current with best practices in injury prevention and response within the acrobatics community.
LATE FEE POLICY
At Acro Fusion, we kindly ask that all invoices are paid by the due date to ensure the smooth running of our classes and programs.
Payment Terms
- All term fees must be paid in full by the invoice due date stated.
- Payments not received by the due date will be considered overdue.
Late Fees
- A late fee of $5 per week will be applied to all overdue accounts.
- Late fees will continue to accrue weekly until the outstanding balance including late fees is paid in full.
Grace Period
- At management’s discretion, a short grace period may be provided at the start of each term.
- After this time, all unpaid accounts will automatically incur late fees.
Outstanding Accounts
- Students with outstanding fees may be unable to participate in classes, performances, or events until their account is brought up to date.
- Continued non-payment may result in the cancellation of enrolment.
Communication
- If you are experiencing difficulty making payment, we encourage you to contact us as soon as possible to discuss alternative arrangements.
